This Website Privacy Policy explains how ScitoVation, LLC (“ScitoVation,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit scitovation.com and other webpages that link to this Policy (collectively, the “Website”), submit a form, communicate with us, register for a webinar or event, subscribe to communications, or otherwise interact with us online.

This Policy does not govern personal information that ScitoVation processes solely on behalf of a client under a contract or data-processing agreement, employee or applicant information governed by a separate notice, or third-party websites and services that have their own privacy policies.

ScitoVation is the controller or business responsible for the personal information described in this Policy, except where stated otherwise.

2. Personal information we collect

2.1 Information you provide

We may collect information that you voluntarily provide, including:

  • Business contact information, such as your name, business email address, telephone number, job title, employer, and professional affiliation.
  • Inquiry and project information, including information entered in the “Talk to a Scientist,” contact, or request-for-quote forms and information you provide during follow-up communications.
  • Communication preferences, including newsletter, webinar, event, and marketing preferences.
  • Event and registration information, including attendance, questions submitted, and related communications.
  • Correspondence and records of your interactions with us, including emails, meeting requests, feedback, and customer-service communications.
  • Any other information you choose to provide.

Please do not submit trade secrets, highly confidential research data, protected health information, patient-level information, government identification numbers, financial-account information, or other sensitive personal information through a general Website form. If confidential information is needed to evaluate a project, please ask us to establish an appropriate confidential channel or agreement.

2.2 Information collected automatically

When you use the Website, we and our service providers may automatically collect certain technical and usage information, such as:

  • Internet Protocol (IP) address, approximate location derived from IP address, browser type, device type, operating system, language, and device identifiers.

For example, if you submit a LinkedIn Lead Gen Form, LinkedIn may provide the information you authorized it to share with us. LinkedIn processes information under its own privacy policy.

3. How we use personal information

  • Determine whether and how ScitoVation can assist with a scientific, technical, regulatory, or business need.
  • Arrange meetings, prepare proposals or requested information, and manage prospective and existing client relationships.
  • Provide webinars, newsletters, publications, event information, and other content you request.
  • Send marketing communications where permitted by law and, where required, with your consent.
  • Operate, maintain, secure, troubleshoot, and improve the Website, communications, and services.
  • Measure Website and campaign performance, understand audience engagement, and improve the relevance of our content and outreach.
  • Detect, investigate, and prevent fraud, abuse, security incidents, and unlawful activity.
  • Maintain records, enforce agreements, establish or defend legal claims, and comply with legal, regulatory, contractual, and professional obligations.
  • Complete a corporate transaction, such as a financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate safeguards.

ScitoVation should not activate such non-essential technologies for users where consent is required unless valid consent has been obtained.

6. Marketing communications

We may send business-to-business marketing communications where permitted by applicable law. Where consent is required, we will request it separately and will not make consent to marketing a condition of responding to an inquiry. You may unsubscribe at any time by using the link in an email or contacting us. Even after you opt out of marketing, we may send non-promotional communications about an inquiry, transaction, service, security matter, or legal obligation.

7. How we disclose personal information

We may disclose personal information to:

  • Service providers that support website hosting, form processing, email delivery, customer-relationship management, analytics, advertising, cybersecurity, document storage, professional services, and other business operations. ScitoVation does not sell personal information for money. Some U.S. state laws define “sale,” “sharing,” or “targeted advertising” broadly and may treat certain disclosures through advertising technologies as covered activity even when no money is exchanged. 8. International transfers

ScitoVation is based in the United States. Personal information submitted from another country may be transferred to and processed in the United States and other countries where we or our service providers operate. Those countries may have data-protection laws that differ from the laws where you live.

Where required, we use appropriate safeguards for international transfers, which may include the European Commission’s Standard Contractual Clauses, the United Kingdom’s approved transfer mechanism, adequacy decisions, or another lawful transfer mechanism. 9. Data retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to respond to inquiries, manage business relationships, maintain appropriate records, meet contractual and legal obligations, resolve disputes, and enforce agreements. Retention depends on the nature of the information, the relationship, legal requirements, and security considerations.

Unless a longer period is needed for an active relationship, legal obligation, dispute, or other documented business need, we intend to delete or anonymize inquiry information that does not result in a business relationship within 24 months after the last substantive interaction. Marketing contact information may be retained until you unsubscribe or object, after which we may retain a limited suppression record to honor your request. Technical records may be retained for shorter periods consistent with security and operational needs.

10. Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against accidental or unlawful loss, misuse, alteration, disclosure, or access. No transmission or storage system is completely secure, and we cannot guarantee absolute security. If you believe information submitted to us has been compromised, please contact us promptly.

  • Lodge a complaint with a data-protection authority. Individuals in the EEA may contact the authority in their country; UK individuals may contact the Information Commissioner’s Office; and Swiss individuals may contact the Federal Data Protection and Information Commissioner.

You may exercise a request by emailing info@scitovation.com. Please describe your request and provide information reasonably necessary to identify the relevant records. We may verify your identity before fulfilling a request. An authorized agent may submit a request where permitted by law, subject to verification of the agent’s authority and your identity.

We will not discriminate against you for exercising a privacy right. Some rights are not absolute, and we may deny or limit a request where permitted by law. If we deny a request, we will explain the basis and any available appeal process.

12. Additional information for residents of certain U.S. states

Residents of states with comprehensive privacy laws may have additional rights regarding access, correction, deletion, portability, and opting out of sale, sharing, targeted advertising, or certain profiling. ScitoVation does not knowingly use sensitive personal information to infer characteristics about individuals. We do not knowingly sell personal information for money.

To opt out of any activity that applicable law defines as sale, sharing, or targeted advertising, email info@scitovation.com. If the Website recognizes a legally required browser-based opt-out preference signal, such as Global Privacy Control, we will process it as required by applicable law.

California’s “Shine the Light” law permits certain residents to request information about disclosure of personal information to third parties for their own direct-marketing purposes. ScitoVation does not disclose personal information to third parties for their own direct-marketing purposes without authorization. Requests may be submitted using the contact information in Section 17.

13. Children’s privacy

The Website and our business services are intended for professionals and are not directed to children under 16. We do not knowingly collect personal information from children under 16 through the Website. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.

14. Automated decision-making

ScitoVation does not use personal information collected through the general Website inquiry forms to make decisions based solely on automated processing that produce legal or similarly significant effects on an individual.

15. Third-party websites and services

The Website may link to third-party websites, platforms, publications, or services. ScitoVation does not control and is not responsible for their privacy or security practices. Review the privacy policy of any third party before providing information.
